Who we are

This Privacy Notice is provided by Rx on the go mechanics ("we", "us", "our"), a mobile heavy-equipment, diesel truck and trailer repair service operating in Southern Ontario, Canada. You can reach us at rxonthegomechanics@gmail.com or 587-341-0961.

We are the data controller for the personal information described in this notice — meaning we decide how and why your information is used.

What we collect

• Contact details — name, phone number and email address you give us through the contact form, by phone, or by email.
• Service and job details — equipment or vehicle information, job location, descriptions of the problem, photos, findings, estimates, work orders and invoices related to work we perform for you.
• Review content — your name, rating and review text if you leave a review on our website.
• Usage and device data — IP address, browser/device type, and basic analytics about how the website is used.
• Invoice-view information — when you open a shared invoice link, we record that it was viewed, along with the time and basic device/session details.

Payment card details are collected and processed directly by our payment provider, Paddle — we never see or store your full card number.

Why we use it (and our legal basis)

• To respond to your inquiries and provide quotes, estimates and scheduling (contract performance / legitimate interests).
• To perform repair and maintenance services and keep service records for your equipment (contract performance).
• To invoice you, process payments, and keep accounting and tax records (contract performance / legal obligation).
• To send you service updates, receipts, invoices and refund confirmations (contract performance).
• To keep the website and our systems secure and prevent fraud (legitimate interests).
• To publish reviews you choose to submit (consent, which you can withdraw by asking us to remove the review).

Who we share it with

• Service providers that host and operate our website, application, database and email delivery.
• Paddle, our Merchant of Record, for the sale of our services, payment processing, subscription or billing management, tax compliance and invoicing.
• Professional advisers (such as accountants or lawyers) where reasonably necessary.
• Authorities, where required by law.

We do not sell your personal information.

International transfers

Some of our service providers (including Paddle and our hosting providers) process data outside Canada. Where data is transferred internationally, it is protected by appropriate safeguards such as contractual protections or adequacy mechanisms used by those providers.

How long we keep it

We keep service, invoice and payment records for as long as required for accounting, tax and legal purposes (generally up to 7 years). Contact-form messages and reviews are kept while they are relevant to our business relationship. When information is no longer needed, it is deleted or anonymised.

Your rights

Depending on where you live, you may have the right to access, correct or delete your personal information, to withdraw consent, to object to or restrict certain processing, and to receive a copy of your data. To exercise any of these rights, contact us at rxonthegomechanics@gmail.com — we will respond within one month. You also have the right to complain to the Office of the Privacy Commissioner of Canada or your local supervisory authority.

Security

We use appropriate technical and organisational measures — including encryption in transit, access controls and authenticated staff access — to protect your information. No method of transmission or storage is 100% secure, but we work to protect your data.

Cookies

Our website uses only essential cookies/storage needed to operate the site and keep staff signed in. We do not use advertising or cross-site tracking cookies. You can clear cookies at any time through your browser settings.
